About Purpose of Position: Executive Secretary Processing Technical Jobs at Anglo American

Job Description:
As the Executive Secretary Processing Technical, will be responsible to support the Executive Head in handling varied Secretarial and Administrative functions as it relates to the daily operation of the Directorate. Some of your responsibilities will include:

Effective Personal Assistant / Secretarial duties.
Up-to-date filing and effective system of filing that ensure information is accessible in secretary’s absence.
Attend to all incoming correspondence from Corporate, Internal and Post Office.
Keep record of all outgoing correspondence to Units and follows up on replies.
Diary management and inter-department/unit communication responsibilities.
Prepare, create, and distribute function invitation and co-ordinates replies and function activities.
Provide effective secretarial service / meeting support at various internal and external meetings.
Arranging venues, notifications, agendas and preparation of minutes.
Follow up on items to be actioned by internal meeting attendees.
Coordinate boardroom reservations and special venue reservations.
Organise and co-ordinates workshops, conferences – related to function and outside companies.
Ensure that the workflow in the secretarial area matches the requirement of the Executive Head and HOD’s.
Support the secretarial needs of HOD team.
General Office Administration.
Contribute to building relationships with key stakeholders relevant to the function at both Operational and Business Unit level, ensuring engagements are consistent with Business Unit and Group sustainability initiatives and standards.

Qualifications:
Diploma/Degree in PA or Secretarial qualification or equivalent
Required skills and Experience:

At least 2 years within processing environment.
Extensive stakeholder engagement and management on an executive level.
Exceptional verbal and written communication skills.
Extensive diary management.
Exceptional organizational skills and detail oriented.
Ability to work under pressure and meet deadlines.
Advanced in Microsoft Office, and business communication software.
